Wedding Transport Booking Terms & Conditions
These wedding transport Booking Terms & Conditions explain the agreement between Bertie Weddings and the person making the booking. Please read them carefully before confirming your booking.
1. Bookings
A booking is not confirmed until Bertie Weddings has provided written confirmation and the required booking payment has been received. The person making the booking must be aged 18 or over and is responsible for providing complete and accurate information.
2. Booking payment and balance
A booking payment of £100 is required to reserve the wedding date. This payment forms part of the total booking price. The remaining balance must be paid no later than 28 days before the wedding date. Where a booking is made within 28 days of the wedding date, full payment will be required at the time of booking.
If the customer wishes to cancel the booking, they must notify Bertie Weddings in writing as soon as possible. Any refund or cancellation charge will be calculated fairly, taking into account the date of cancellation, work already completed, costs already incurred and whether the wedding date can reasonably be rebooked.
3. Customer cancellations
4. Changes to the booking
Any request to change the wedding date, collection time, journey, venue or other booking details must be made in writing as soon as possible. Bertie Weddings will try to accomodate reasonable changes, but this cannot be guaranteed and may result in an additional charge where extra time, mileage or costs are involved. A change of wedding date will be subject to Bertie's availability. If the new date is unavailable, the request will be treated as a customer cancellation and the cancellation terms above will apply.
5. Timings and delays
The customer is responsible for providing accurate collection times, addresses and journey details. Bertie Weddings will make every reasonable effort to arrive on time, but cannot be held responsible for delays caused by traffic, road closures, accidents, weather conditions or other circumstances beyond our reasonable control. If the passengers are not ready at the agreed collection time, any resulting delay may reduce the time available for photographs or later journeys. Additional waiting time may be charged where it causes the booking to run beyond the agreed hire period.
The agreed price covers only the time, mileage and journeys stated in the booking confirmation. Any additional waiting time, mileage, journeys or changes requested on the day may be charged separately, subject to availability. Any additional charges will be explained as soon as reasonably possible. Charges agreed before the wedding date must be paid with the remaining balance. Any charges incurred on the wedding day must be paid within 7 days of receiving an invoice.
6. Additional time and mileage
The number of passengers must not exceed Bertie's legal seating capacity of 4, excluding the driver. All passengers must use the seat belts provided and follow any reasonable safety instructions given by the driver. Children must be supervised by a responsible adult at all times. Any child seat or booster seat required by law must be supplied and correctly fitted by the customer unless otherwise agreed in writing.
7. Passengers and safety
8. Smoking, vaping, food and drink
Smoking, vaping and food are not permitted inside Bertie. Drinks provided as part of the journey may be enjoyed carefully while Bertie is stationary. Reasonable care must be taken to avoid spills, stains or damage. The customer may be charged for any exceptional cleaning, repairs or damage caused by passengers during the booking, except for ordinary wear and tear.
9. Vehicle breakdown or cancellation by Bertie Weddings
Bertie Weddings takes reasonable care to keep Bertie properly maintained, serviced and roadworthy. However, as Bertie is a distinctive specialist vehicle, unforeseen circumstances may occasionally occur. If Bertie cannot attend because of a breakdown, accident, illness, severe weather or other circumstances beyond our reasonable control, we will contact the customer as soon as possible and make reasonable efforts to find a suitable alternative. We cannot guarantee that an equivalent vehicle will be available. If Bertie Weddings has to cancel and cannot provide a suitable alternative accepted by the customer, all payments made for the affected service will be refunded. Bertie Weddings will not be responsible for additional losses that could not reasonably have been anticipated when the booking was made.
10. Photographs and publicity
Customers and guests are more than welcome to take photographs of Bertie during the booking, provided this does not cause delay or create a safety risk. Bertie Weddings will not use identifiable photographs of the customer or guests for advertising, social media or promotional purposes without permission. Permission may be withdrawn at any time before publication.
11. Personal belongings
Passengers are responsible for their own belongings during the booking. Bertie Weddings cannot accept responsibilty for items that are lost, damaged or left in Bertie, except where this is caused by our negligence. Any personal belongings found after the booking will be kept safely for a reasonable period, and reasonable arrangements will be made for their return. Any postage or delivery costs may be charged to the customer.
12. Complaints
If the customer is unhappy with any part of the service provided, they should contact Bertie Weddings as soon as possible so that we have the opportunity to resolve the matter. Any formal complaint should be made in writing within 14 days of the wedding date. We will acknowledge the complaint and respond within a reasonable time.
13. Governing law
These Booking Terms & Conditions are governed by the laws of England and Wales. Any dispute will be subject to the jurisdiction of the courts of England and Wales.
